Under the EU General Data Protection Regulations (GDPR) we have updated our data protection policies which have been set out in two parts.

Part 1 contains details about our company, your rights, our data collection and use of your personal data.

Part 2 sets out the policies we follow regarding the privacy of individuals’ details and how we collect information from our website.

Part 1

Who we are

We are Quantified Tree Risk Assessment Limited (QTRA), a company registered in England, company registration number 5255873.  The registered office of Quantified Tree Risk Assessment Limited is 9 Lowe Street, Macclesfield, Cheshire, SK11 7NJ, England.

For the purposes of EU General Data Protection Regulations (GDPR), Quantified Tree Risk Assessment Limited is registered with the Information Commissioner’s Office (England), www.ico.org.uk as follows:

What are your rights

If at any point you believe the information we process on you is incorrect, you can request to see this information and have it updated or erased by contacting us at admin@qtra.co.uk.  You also have the right to object to the processing of your personal data and have the right to withdraw your consent to the processing at any time.

Unless otherwise agreed with you, we will only collect personal data such as contact details including your name, address, email address, phone number and job title.  Our personal data does not include any sensitive personal information.

If you wish to make a complaint about how we handle or have handled your data, you can contact our Data Controller who will investigate the matter.

If you are not satisfied with the results of our investigation or you believe we are not processing your data in accordance with the EU General Data Protection Regulation law, you can put you complaint in writing to the Information Commissioner’s Office (ICO), Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF, England.

Data collection

We need to collect your personal data in order to provide you with our services and to claim our right to be paid in return for our services.  We also use your data to provide you with regular newsletters and to update you on our services.

If you do not provide us with your personal details, we will be unable to provide the services you have requested.  We will not collect any personal data that is not needed for the services we offer.

User of personal data

We will provide you with information about our services such as training workshops, and we will update you with our activities or events via newsletters.

No third parties have access to your personal data unless there is a legal obligation for us to provide them with this data.

Quantified Tree Risk Assessment Limited will take sensible steps to ensure your personal data is processed securely and fairly.

How long we keep your personal data

Once you have Registered Interest on the QTRA website and/or consented to a subscription and/or marketing, e.g. receiving updates of our training courses and services, any information we use for this purpose will be kept on our records and processed until you notify us that you no longer wish to receive information from us.

If you become a Registered User of QTRA, you will be given the option to make your personal information publicly visible on our website for the purpose of publicising your status as a Registered User of QTRA and making your details available to potential customers.  When you cancel your registration or if your registration expires, you will cease to be a QTRA Registered User and your details such as contact details workshop attendance, posts and invoice and payment details will be held by QTRA as long as it is required for the intended purpose unless you submit a request to us for them to be removed by contacting admin@qtra.co.uk.

Sharing your personal data

Unless you choose otherwise, your personal data is only visible to QTRA staff members including the administrators and IT specialists who maintain our database software.

QTRA operates a Registered User discussion forum.  This is not a public forum, but when you post on the discussion forum you consent to this information, including your email address, being made visible and available to other Registered Users and being shared across international boundaries on the World Wide Web and being retained in the discussion forum archive.

Personal data shall not be transferred to countries or territories outside the European Economic Area unless that country or territory ensures an adequate level of protection for the rights and freedoms of data subjects in relation to the processing of personal data.  Personal data will be placed on systems complying with measures giving equivalent protection of personal rights either through international agreements or contracts approved by the European Economic Area. 

Part 2

At Quantified Tree Risk Assessment Limited, we focus on implementing fair and reasonable information processes and procedures that are designed to protect your privacy.  If you have any questions regarding your personal data or would like further information about your data, you can contact the Data Controller by post or by email to admin@qtra.co.uk.

Data Collection

We collect.personally identifiable information (User Data) that is voluntarily provided by visitors to our QTRA website and by email.  This data includes title, name, address, email address, screen name, telephone numbers, email addresses, and any other information provided by visitors such as record of the country where they are located, employer’s name and their industry sector.  Records of individuals who attended our training courses and workshops will also be kept.

When you become a Registered User of QTRA, records are kept in the QTRA Directory of Registered Users.  Your personal information is not made public unless you choose to share it.  To edit your emailing preferences or to change your visibility in the Directory, you should log in with your username and password and use the ‘Edit Profile’ function, which is available at the top of each web page. 

The content of any messages you send to the QTRA Registered Users’ Discussion List is placed in the List Archive and is only available to current registered users.  By posting a message to the list you will have deemed to have consented to this message being made available to other registered users and transferred via the Internet to territories both within and outside the European Economic Area.  All posts you send to the Registered Users’ Discussion List will be stored in the List Archive.  Using the ‘Edit mailing list preferences’ function, you can set your preferences for receiving emails from the Discussion List and the visibility of your information to other Registered Users.

Quantified Tree Risk Assessment Limited logs your IP and email address so that we can trace the source of a post.  If you send a message to the Registered Users’ Discussion List, we keep a record of how many messages you have sent and the size of each message.  These records are required to monitor the performance of our systems and help enhance the services we offer.  Copies of any messages will be collected and saved in the Discussion List’s Archive.

Your personal data is kept in secured files which cannot be accessed without passwords.  The computer on which your personal data is kept is carefully firewalled and we take reasonable and responsible measures to keep the software up to date and free from known security problems.

How to see and edit your personal data

To see your personal data and edit your emailing preferences or change your visibility in the directory, you can log in by using your username and password, and then by navigating to ‘Edit Profile’ to make your changes.

Who else can see your data

All personal data is sorted by QTRA and only visible to QTRA and website administrators.  However, once you have become a Registered User you can log in and change your settings on the ‘Edit Profile’ page to make your name, contact details and the description of your services publicly available in the QTRA Directory of Registered Users, which will remain available as long as you are a Registered User or until you change your settings.  Your attendance to training events will be visible to people who have your QTRA Registration Number, and who use the ‘Check a Registration’ function on the QTRA website.  We do not share this number with anyone other than you and/or your employer. 

Use of User data

User data obtained via the website is only used for the internal business purposes of Quantified Tree Risk Assessment Limited and in connection with a website visitor’s request.  This data is not shared with others for unrelated purposes. Except for instances where visitors explicitly choose to receive specific QTRA information or marketing materials, QTRA will not use personal data collected from our website to distribute marketing or information materials.

QTRA’s policy is to avoid excessive or irrelevant collection of data.  If a visitor believes the site has collected excessive information, we encourage the visitor to contact us at admin@qtra.co.uk to raise any concerns.

Third parties

It is QTRA’s policy only to disclose User Data to third parties under the following circumstances:

  • When explicitly requested by a site visitor to disclose their data
  • When required to facilitate workshops and/or conferences hosted by a third party
  • When required to deliver reference materials or publications requested by the site visitor
  • When required to meet any other requests made by a site visitor 

Quantified Tree Risk Assessment Limited may share personal data with federal, state and local government entities if required by law.

The QTRA website does not collect personal information for circulation or sale to outside parties for consumer marketing purposes or host mailings on behalf of third parties.

Use of cookies

Like most websites, we use cookies to make our website work and help enhance your experience when visiting us.  Cookies are small text files that are stored by your browser (e.g. Internet Explorer, Firefox or Safari) on your computer or mobile phone.  They allow websites to store user preferences.  You can think of cookies as providing a ‘memory’ for the website, enabling it to recognise a user and respond appropriately.

Information generated by the use of cookies may be compiled into an aggregate form so that no individual can be identified.

Data collected through cookies will not be kept longer than necessary to fulfil the purposes mentioned above. However, please be aware that other website linked to our website may have different policies regarding the use of cookies.

All QTRA servers and computer systems are protected from outside intrusions. As a result, all data collected through the use of cookies will be protected from unauthorised access.

Other data logs

In common with other providers of Internet services, we keep logs of all access to our systems.  These are used to analyse performance, identify problems and detect any security breach.  They generally identify only connecting computers rather than the individuals operating them.

System logs are only accessible to system administrators.  They are rotated and are generally not kept for more than a month, unless there is a specific problem which requires further analysis.  The results of statistical analysis of logs may be kept indefinitely.  It may occasionally be necessary to pass log extracts to support personnel in order to track down problems.  When this is done, any data which might identify individuals are anonymised.  Support personnel may be outside the European Economic Area.

In the event of attempted or successful security breaches, relevant log extracts will be passed to the ISP of the computer concerned and to the authorities.  In attempting to circumvent our security, you will be deemed to have given your consent to us passing logs relating to this action to third parties that may be outside the European Economic Area.

Third party links

Our website may link to other websites that may not operate under QTRA’s privacy practices.  When visitors link to other websites, QTRA’s privacy practices no longer apply.  We encourage visitors to review each site’s policy before disclosing any personal data.


By continuing to use the website and by providing any personal data to us via our website or email addresses provided on our website, visitors are consenting to our use of their personal data as set out in this Privacy Policy. Please do not send us any personal data if you do not want that information to be used in this manner.


Quantified Tree Risk Assessment Limited reserves the right to modify or amend the Privacy Statement at any time.  The effective data will be displayed at the beginning of this statement.

To keep visitors informed, QTRA will notify registered users of the website of any material changes made to the Privacy Statement by prominently displaying a link on our website home page to the updated Privacy Policy.
